You've created an RFQ, watched the pricing roll in, analyzed the results, and are ready to award a job. What now?
It's time to close your request. Submitting an RFQ through RigUp allows you to notify each vendor of your decision. This feedback is vital to service companies. For those that you plan on awarding work to, this ensures that they have plenty of time to prepare for the upcoming work. For those that you decline, the feedback helps them improve and also gives them a reason to respond next time you want pricing.
Once the deadline passes, you will receive an email stating that your "RFQ is Ready for Review." From here, you will be able to click into the RFQ page and view the submissions.
View Pricing Submissions
Click on a company on the left sidebar to view submitted bids and message them privately.
The RFQ Report is a zip file containing a folder for each vendor with any attachments that were submitted. It also contains an Excel file with all line items compiled and summarized. Download the report to save it to your computer.
RFQs utilizing a RigUp Bid Template will have a normalized comparison view. Be sure to seelct View Full Comparison to get the most out of the analytics.
Upon completing analysis of the submitted pricing, you can close your request.
Click into the RFQ that you would like to close and select Close Request at the top of the page. This option will only be available after the deadline, when the RFQ is ready for review.
On the next screen, select your response for each bid that was submitted.
Awarded: This is for vendors that you plan on moving forward with for the upcoming work.
- Call Positions (optional): You can specify call positions if you are awarding work to multiple companies.
Accepted: This option is for vendors where there is no guarantee of work, but you are keeping the bid on file for potential work in the future.
Declined: The pricing submitted was not accepted and you do not plan on working with this vendor for the particular project.
- For each decline, you'll need to specify a reason. You can choose from a pre-populated option or provide a custom comment.
Decision Attachments (optional): If needed, you can upload documents to send to each vendor.
Once you have filled out all the required information, click "Send Responses" and you will have successfully closed your RFQ. Service providers that submitted pricing will immediately receive an email notifying them of your decision and any comments provided. Service providers do not see your decision regarding any other submitted pricing, just their own.
